PookyEvent („we,“ „us,“ „our,“ or „Company“) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Discord bot, REST API, and web-based administration dashboard (collectively, the „Service“).

• Server/Guild IDs where the bot is used

• Event status (open, closed, completed)
• Event configuration and settings

• Your role selections for events
• Your signup status (signed up, on bench, waiting, absent)
• Preferred and alternative role assignments

• Storage Location: Event data is stored in a secured database on our servers
• Encryption: Sensitive data is encrypted at rest
• Access Control: Only authorized administrators can access personal data
• Backup: Regular backups are maintained for data recovery purposes

• Event Data: Retained until event completion and for 30 days thereafter
• User Signup Data: Retained for the duration of event participation
• User Requests: Personal data can be deleted upon user request (see Section 8)
• Logs: Server logs are retained for 90 days for security purposes

• Discord: The Service requires Discord API access. Data shared with Discord follows Discord's own Privacy Policy
• Service Providers: We do not sell, trade, or transfer personal information to third parties
• Legal Requirements: We may disclose information if required by law or to protect our rights

You have the right to request access to the personal data we hold about you.

You have the right to request corrections to inaccurate data.

You have the right to request deletion of your personal data, except where we are required to retain it for legal reasons.

You have the right to request your data in a portable format.

Requests will be processed within 30 days.

For users in the European Union, PookyEvent complies with the General Data Protection Regulation (GDPR):

• We only process data with valid legal basis (consent, contractual obligation, or legitimate interest)
• We implement Data Protection by Design principles
• We conduct Privacy Impact Assessments for new features
• We maintain records of processing activities

The Service does not use cookies on the Discord bot. The web administration dashboard may use session cookies for authentication purposes only.

The Service is not intended for children under 13 years of age. We do not knowingly collect information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will delete such information immediately.

We may update this Privacy Policy periodically. Changes will be effective immediately upon posting to the Service. Your continued use of the Service indicates your acceptance of the updated Privacy Policy.

Your data may be transferred to, stored in, and processed in countries other than your country of residence. By using the Service, you consent to such transfers.
