This guide describes the PookyEvent Web UI from an Event Master / Guild Master perspective. It covers everything you can do beyond what a regular player can: creating and editing events, managing guilds, and administering users.
Note: If you are a Super Admin, you also have access to additional admin controls (impersonation, setting admins, syncing guilds). Those are covered at the end of this guide.
Prerequisite: Before using the Web UI, make sure you have completed the setup steps in the Getting Started Guide — invite the bot, register with/pookyme, and add a channel with/pookychannel.
As an Event Master (you own at least one guild), the left drawer shows extra pages compared to a regular user:
| Icon | Page | Description |
|---|---|---|
| 🏠 | Welcome | Dashboard with active upcoming events |
| 📅 | Events | Full event list — now with create/edit/delete actions |
| 🏰 | Guilds | Guild overview — now with edit/delete/add actions |
| 👥 | Users | User management — view and remove users from your guilds |
| 🐞 | Rant | Report bugs or suggest improvements |
| 🚪 | Logout | Sign out of the Web UI |
If you are also a Super Admin, you will additionally see ⚙️ Admin in the drawer.
On the Events page, events belonging to guilds you own now show additional action buttons next to each event:
| Icon | Action | Description |
|---|---|---|
| 🔍 | Show details | View event with signup options |
| 🗑️ | Delete | Permanently delete the event (with confirmation dialog) |
| 📢 | Repost | Re-post the event embed to the Discord channel |
| 🔄 | Update embed | Refresh the existing Discord embed with latest data |
| ✏️ | Edit | Open the event edit form |
| 📋 | Copy as new | Duplicate the event as a template for a new event |
Multi-select checkboxes let you select several events and perform bulk actions.
The Create tab opens a 3-step wizard:
Step 1 — Select Guild & Channel
Step 2 — Choose Template
Step 3 — Fill Event Details
Click **✅ Create Event** to submit. The event will be saved and posted to the selected Discord channel automatically.
The Edit tab lets you modify any existing event. Select the guild and event from the dropdowns, then edit:
When you change role names or types, existing signups are **automatically migrated** — players keep their signup positions. You will see a warning if role changes are detected.
After saving, the Discord embed is updated automatically.
> **Tip:** To close an event and assign waiting players, check the **Finalized** box and save.
Click the 🗑️ icon next to an event in the list. A confirmation dialog will appear — confirm to permanently delete the event. This also removes the Discord embed if it was posted.
Use Update embed after manually adjusting signups or finalizing an event to sync the Discord message.
The Guilds page for an Event Master shows additional action buttons for your own guilds:
| Icon | Action | Description |
|---|---|---|
| ✏️ | Edit guild | Modify guild name and registered channels |
| 🗑️ | Delete guild | Remove the guild from PookyEvent entirely |
There is also a ➕ Add Guild button to register a new Discord server.
Click the ✏️ icon to open the edit form:
channel_name,channel_id format (one per line)Click **💾 Update** to save.
Click ➕ Add Guild. Choose from available Discord servers detected by the bot, or enter a guild ID manually (if you are a Super Admin). You can also set a custom name and define channels.
Click the 🗑️ icon and confirm the deletion dialog. This permanently removes the guild and all its events from PookyEvent.
The Users page is available to Event Masters. It shows all users from the PookyEvent database, filtered by your own guilds.
When filtered to a specific guild:
You can also multi-select users with checkboxes and use the bulk action button:
The ✏️ Edit sub-tab is available to Super Admins only. It lets you:
If you are a Super Admin, you will see the ⚙️ Admin page in the navigation drawer. This page provides:
Click 🔄 Sync Guild Icons to pull the current guild icons and metadata from Discord. This updates all guild records with fresh Discord data.
The 🎭 Login as User feature lets you view the Web UI as any other user:
1. Select a user from the dropdown 2. Click **🎭 Login as User** 3. The UI switches to that user's view — you see exactly what they see 4. An orange banner at the top shows you are impersonating 5. Click **↩️ Revert to Admin** to return to your own session
This is useful for testing and debugging what your players see.
Enter a user's Discord ID and click Set as Admin to grant super admin privileges. The user will immediately have access to all admin features.
Enter a user's Discord ID, select a guild, and click Set as Guild Master to grant guild ownership. The user will be able to manage events and users for that guild.
