Web UI Admin & Guild Master Guide - PookyEvent

This guide describes the PookyEvent Web UI from an Event Master / Guild Master perspective. It covers everything you can do beyond what a regular player can: creating and editing events, managing guilds, and administering users.
Note: If you are a Super Admin, you also have access to additional admin controls (impersonation, setting admins, syncing guilds). Those are covered at the end of this guide.
Prerequisite: Before using the Web UI, make sure you have completed the setup steps in the Getting Started Guide — invite the bot, register with/pookyme, and add a channel with/pookychannel.
1. Additional Navigation
As an Event Master (you own at least one guild), the left drawer shows extra pages compared to a regular user:

2. Managing Events
2.1 Event List for Guild Masters
On the Events page, events belonging to guilds you own now show additional action buttons next to each event:

Multi-select checkboxes let you select several events and perform bulk actions.
2.2 Creating an Event (➕ Create)
The Create tab opens a 3-step wizard:
Step 1 — Select Guild & Channel
- Choose the Discord server
- Choose the text channel where the event will be posted
- Set the maximum number of custom roles (4–12)
Step 2 — Choose Template
- Select an existing event to copy its roles and settings, or
- Choose „Create Empty Event“ to start from scratch
Step 3 — Fill Event Details
- Title — A descriptive name for the event
- Description — Additional information for players
- Builds Link — Optional URL to a build guide
- Date & Time — Pick the date and time (automatically converted to your browser's timezone)
- Minimum signups — The minimum number of players needed for the event to go ahead
- Roles — Define each role:
- Name — The role display name (e.g. „Freija“, „Raid Leader“)
- Type — Role category: Healer, DD, Tank, Speed, Lead, Bomber, or Support
- Mandatory — Check this box if the role is required for the event to start
- A preview shows the emoji-prefixed role name as it will appear in Discord
Click **✅ Create Event** to submit. The event will be saved and posted to the selected Discord channel automatically.
2.3 Editing an Event (✏️ Edit)
The Edit tab lets you modify any existing event. Select the guild and event from the dropdowns, then edit:
- Event Details Card:
- Title, Description, Builds Link
- Finalized checkbox — Lock the event (prevents further signups)
- Min signups — Change the required player count
- Date & Time Card:
- Change the event date and time (local timezone)
- Roles Card:
- Edit role names, types, and mandatory flags
- Assign preferred signups per role via the dropdown
- System roles (Bench, Whatever, etc.) are shown read-only
When you change role names or types, existing signups are **automatically migrated** — players keep their signup positions. You will see a warning if role changes are detected.
After saving, the Discord embed is updated automatically.
> **Tip:** To close an event and assign waiting players, check the **Finalized** box and save.
2.4 Deleting Events
Click the 🗑️ icon next to an event in the list. A confirmation dialog will appear — confirm to permanently delete the event. This also removes the Discord embed if it was posted.
2.5 Reposting & Updating Embeds
- 📢 Repost — Deletes the old Discord embed and posts a fresh one in the channel
- 🔄 Update embed — Refreshes the existing embed with current data (signups, finalization status) without deleting it
Use Update embed after manually adjusting signups or finalizing an event to sync the Discord message.
3. Managing Guilds
The Guilds page for an Event Master shows additional action buttons for your own guilds:

There is also a ➕ Add Guild button to register a new Discord server.
3.1 Editing a Guild
Click the ✏️ icon to open the edit form:
- Name — Change the guild display name
- Channels — Edit the registered channels in
channel_name,channel_idformat (one per line)
Click **💾 Update** to save.
3.2 Adding a Guild
Click ➕ Add Guild. Choose from available Discord servers detected by the bot, or enter a guild ID manually (if you are a Super Admin). You can also set a custom name and define channels.
3.3 Deleting a Guild
Click the 🗑️ icon and confirm the deletion dialog. This permanently removes the guild and all its events from PookyEvent.
4. Managing Users
The Users page is available to Event Masters. It shows all users from the PookyEvent database, filtered by your own guilds.
4.1 Viewing Users
- Use the Filter by Guild dropdown to see users in a specific guild
- Users are displayed with their username and Discord ID
- Pagination controls appear if there are more than 20 users
4.2 Removing Users from a Guild
When filtered to a specific guild:
- Click the ⛓️💥 icon to remove a user from the guild
- If the user belongs to only this guild, they will be permanently deleted from the database (a confirmation dialog warns you)
- If the user belongs to multiple guilds, they are simply removed from the current guild
You can also multi-select users with checkboxes and use the bulk action button:
- ⛓️💥 Remove from guild (N) — Removes all selected users from the guild (or deletes those with no other guilds)
4.3 Editing User Permissions
The ✏️ Edit sub-tab is available to Super Admins only. It lets you:
- Toggle Is Admin status
- Toggle Is Guild Master status
5. Super Admin Controls
If you are a Super Admin, you will see the ⚙️ Admin page in the navigation drawer. This page provides:
5.1 Sync Guild Icons
Click 🔄 Sync Guild Icons to pull the current guild icons and metadata from Discord. This updates all guild records with fresh Discord data.
5.2 Impersonate Users
The 🎭 Login as User feature lets you view the Web UI as any other user:
1. Select a user from the dropdown 2. Click **🎭 Login as User** 3. The UI switches to that user's view — you see exactly what they see 4. An orange banner at the top shows you are impersonating 5. Click **↩️ Revert to Admin** to return to your own session
This is useful for testing and debugging what your players see.
5.3 Set Admin
Enter a user's Discord ID and click Set as Admin to grant super admin privileges. The user will immediately have access to all admin features.
5.4 Set Guild Master
Enter a user's Discord ID, select a guild, and click Set as Guild Master to grant guild ownership. The user will be able to manage events and users for that guild.
