Web UI Super Admin Guide - PookyEvent

This guide describes the Super Admin exclusive features in the PookyEvent Web UI. As a Super Admin, you have access to everything a Guild Master can do, plus:
- The ⚙️ Admin page with system-wide controls
- Edit User permissions (grant/revoke admin and guild master status)
- View all guilds and all users across the entire PookyEvent instance
- Manually enter guild IDs when adding guilds

Note: The ⚙️ Admin page is only visible in the navigation drawer if you are a Super Admin.
1. The Admin Page
The ⚙️ Admin page provides four system-wide tools. Each is described in its own section below.
2. Sync Guild Data
The 🔄 Sync Guild Icons button pulls the current guild icons and metadata directly from Discord and updates all guild records in the PookyEvent database.
- When to use: After adding several new guilds, or if guild icons appear outdated in the Web UI
- What it does: Refreshes guild names, icons, and metadata for every registered guild
- No data is lost — only Discord-provided fields are updated
Click the button and wait for the confirmation message (e.g. „Synced 5 guilds“).
3. Impersonate Users
The 🎭 Login as User feature lets you view the entire Web UI from another user's perspective. This is useful for:
- Testing what a specific player sees on the Welcome dashboard
- Verifying signup flows and role visibility
- Debugging permission issues reported by Guild Masters
How to impersonate:
1. Select a user from the dropdown list 2. Click **🎭 Login as User** 3. The UI reloads and shows everything from that user's perspective — same navigation, same data, same restrictions 4. An **orange banner** at the top of the page reminds you that you are impersonating
How to revert:
- Click the ↩️ Revert to Admin button in the orange banner
- You are returned to your own admin session immediately
Note: While impersonating, you are seeing a live snapshot of the user's data. Any changes you make (e.g. signing up for events) are performed as that user.
4. Set Admin
Grant Super Admin privileges to another user. They will immediately get access to the ⚙️ Admin page and all admin features.
- Enter the user's Discord ID (a numeric ID, not the username)
- Click Set as Admin
- A confirmation toast appears: „User is now Administrator“
How to find a user's Discord ID: Enable Developer Mode in Discord (Settings → Advanced → Developer Mode), then right-click the user and select Copy ID.
5. Set Guild Master
Grant Guild Master (Event Master) ownership of a specific Discord server. The user will be able to:
- Create and edit events in that guild
- Manage users for that guild
- Edit and delete the guild
How to set a Guild Master:
1. Enter the user's **Discord ID** 2. Select the **guild** from the dropdown 3. Click **Set as Guild Master** 4. A confirmation toast appears: "User is now Guild Master"
The user does not need Discord Administrator permissions on the server — this grants them Event Master status in PookyEvent directly.
6. Editing User Permissions
As a Super Admin, the 👥 Users → ✏️ Edit sub-tab lets you modify any user's privileges. (Guild Masters do not see this tab.)
- Select a user from the dropdown (all users are listed, unfiltered)
- The user's ID is shown below the dropdown
- Toggle the checkboxes:
- Is Admin — Grants or revokes Super Admin privileges
- Is Guild Master — Grants or revokes the Guild Master flag (but does not assign specific guilds — use the Admin page for that)
- Click 💾 Update User to save
7. Additional Super Admin Privileges
Beyond the dedicated Admin page, Super Admins have these extended capabilities throughout the UI:
7.1 View All Guilds
On the 🏰 Guilds page, Super Admins see every guild registered in PookyEvent, not just guilds they own. You can edit or delete any guild, regardless of ownership.
7.2 View All Users
On the 👥 Users page, Super Admins see all users in the database. The „All Guilds“ filter option shows every user. Guild Masters only see users belonging to their own guilds.
7.3 Add Guild with Manual ID
When adding a guild, Super Admins see an extra Guild Discord Server ID input field. This lets you register a guild by entering its Discord ID directly, even if the bot cannot auto-detect it.
